Administrative Assistant (m/f) – 40h/week

With a team of 60 employees, RSM in Luxembourg is a strong medium-sized organization with a sound human touch and solid values. We are the Luxembourg member of RSM International, the 6th largest professional services, accounting and consulting organisation in the world. Our organisation serves international institutions, local businesses as well as private individuals in all their Luxembourg tax, accountancy, fund administration, audit and payroll needs.

To support the development of RSM Tax & Accounting Luxembourg, we are currently looking for an :

Administrative Assistant (m/f) – 40h/week

Your Role:

  • You will assist in managing our reception and meeting room area :
    • Greeting clients and visitors in a professional way, managing the meeting room reservations
    • Managing the switchboard and forwarding calls while providing information when required
    • Arranging for catering to be delivered and for setting up lunches when required
    • Making sure that reception is being attended to at all times and maintaining a clean and impeccable reception area
    • Making travel arrangements for our management
  • You will perform administrative duties :
    • Sorting both our company’s and clients’ incoming correspondence, and dispatching it to the relevant departments
    • Managing outgoing correspondence and preparing express mails
    • Organising deliveries of documents on behalf of our clients
    • Sorting, scanning, emailing, dispatching documents for our clients received from various tax and VAT administrations
    • Re-invoicing of various costs
    • Sending our invoices and managing the reminders
  • You will manage the switchboard until 6pm from Monday through Thursday, and until 5pm on Friday

Your Profile:

  • You are reliable, discreet and have an excellent presentation with a good team spirit
  • You are fluent in French, English and German. Luxembourgish would be an asset;
  • You are proactive and a good team player, motivated and professional;
  • You have strong organisational skills and pay attention to detail;
  • Previous experience in a similar position is an asset;
  • A degree or a BTS qualification is an asset.
