Job Description

Manpower is recruiting for one of its clients in Luxembourg, a European Institution:

 

Compliance department / Executive Assistant
temporary mission

 

You’ll initially report to the Head of Tax and Regulatory Compliance Division and interacts with colleagues at all levels.


For the Group Compliance Chief Officer, Directors and/or Heads of Division:

  • Manage their agenda to optimize time allocation, coordinate arrangements for appointments and resolve conflicting demands
  • Organize meetings and business trips/missions, including travel arrangements, administrative preparation, and follow-up as well as preparation of required documentation and information
  • Manage incoming correspondence and filter incoming enquiries (phone calls and emails) according to their specific needs
  • Act as the primary interface between them and the Directorate’s staff as well as other parties and/or outside representatives, to ensure effective two-way communication of relevant information
  • Prepare/review documentation and information for their approval/action, to ensure smooth application of decision process and implementation of decisions taken
  • Assist them in the day to day monitoring of the Directorate’s activity as well as with sensitive/confidential topics (e.g. follow up on Board, preparation and compilation of statistics, support in staff-related items)
  • Maintain appropriate filing of electronic (notably in GED) and paper documentation, as well as ensure data quality, to enable easy access and retrieval
  • Ensure effective collaboration with other Administrative Assistants and ensure back up when required during their absence to guarantee continuous business support
  • Initiate and follow up on operational workflows on their behalf, to ensure 
    • proper implementation of their decisions 
    • respect of procedures and deadlines
  • Initiate and participate in the improvement of their operational working methods, to optimize its contribution to the bank's performance
  • Anticipate requirements and identify opportunities to act (proactively) on their behalf

 

The Executive Assistant will initially report to the Head of Tax and Regulatory Compliance Division (TRC) and interacts with colleagues at all level.

Your profile:

  • Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field.
  • At least 5 years' experience in an administrative support role, including at least 3 years in a personal assistant position
  • Thorough knowledge of advanced functions of standard office tools & EIB applications
  • Very good knowledge and experience in the use of software applications/databases and reporting tools used in a specific area
  • Fluent in English. French would be an advantage
